Doctors Manitoba is looking for an experienced administrative professional to join our team in providing administrative support for the Physician Health and Wellness and Communications teams. This position plays a key role in supporting the teams through high-quality administrative, operational, and project coordination support.

Administrative Assistant Responsibilities
- Provide comprehensive administrative support for the Physician Health and Wellness and Communications Teams.
- Manage Director and staff calendars and coordinate all logistical items for meetings, including scheduling, technology, agenda packages, room setup, and meals and refreshments.
- Provide document and presentation formatting, management and support.
- Coordinate travel arrangements and expense forms for Directors and staff.
- Support outreach, event planning, and special project related administrative tasks.
- Manage Communication Team request intake process and assist with communication project tracking.
- Assist with formatting and sending member communications using our email marketing system.
- Assist physician health clients with appointment bookings as needed.
- Provide coverage and support for reception and other administrative assistant positions as needed.
- Identify and implement process improvements based on the strategic, operational and brand plan.
- Provide input on organizational strategies and operational plans and assist with implementing new ideas and initiatives.
- Provide input and assist with quality improvement, risk management, and business continuity planning activities.
- Communicate with other programs to promptly resolve issues and clarify policies and procedures.
Requirements
- Completion of post-secondary education or training, or an equivalent combination of experience and knowledge in the areas of customer service, administrative support, and data/document management.
- Minimum two-years of experience as an administrative assistant and operating office equipment.
- Demonstrated proficiency with Microsoft 365, particularly SharePoint, Word, Excel and PowerPoint.
- Exceptional customer service skills.
- Excellent organizational skills and ability to meet deadlines.
- Ability to prioritize a large workload and independently complete a variety of tasks.
- Demonstrated effective interpersonal, verbal, and written communication skills.
- Demonstrated ability to problem-solve effectively.
- Experience in research, document, and database management.
- Demonstrated proficiency in teamwork and positive staff relationships.
- Experience navigating member databases and secure web portals is considered an asset.
Work Environment
Typical working conditions include daytime hours and occasional weekend and evening work.
